Upload CSV File Tutorial Video

Upload Limits:

  • Accounts 14 days or less old, can only upload 200 leads at a time. 
  • Accounts 15-30 days old, can upload 1,000 leads at a time.
  • 31+ days old accounts can upload up to 10,000 leads at a time.

These limits are per upload, not per day.

Reasons your file wouldn't upload:

  • If you’re uploading a CSV file that contains duplicate leads that are already associated with your account then those duplicate leads will not be uploaded into your account again if they were texted within the past 30 days. Even if you delete the leads, you cannot upload them again if they were already texted within the past 30 days. 
  • If you’re including “Received on” dates in your CSV file upload, then your uploaded leads will appear on the Leads page according to their specified “Received on” date, not the date that they were uploaded.
  • Please make sure the file you uploaded is in CSV file format, otherwise it will not upload. Depending on the original file format, you can typically just click File -> Save As -> and change the file format under the file name to a CSV file type. If applicable, you can also select File -> Export -> CSV. 
  • In Step 2, if you did not select the columns in the exact order the file is in, then data will not collect properly while processing the upload. After you select the columns in step 2, you have to select "I verify the columns I set above are accurate," which populates the first rows or first 5 leads on the file so you can make sure everything is lining up correctly. 
  • If you do not include default phone number or an email address column, the leads will not upload as there isn't any contact information pertaining to the leads. 
  • If you have invalid date formatting in your column, that could result in the file not uploading. For example, a Received On column and a Birthday column should always appear as Month/Day/Year or 00/00/0000. 

Please follow along with the instructions below so that you can successfully upload your CSV file:

Step 1.  Specify whether or not you're uploading the file for yourself or an agent under you. Upload the file and make sure it is in a CSV format. If the first row in the file is a header, keep the box checked below the Choose File button. 

Step 2.  The columns you are specifying in Ringy have to be chosen from the dropdown menu as they appear in the file column by column in the order they appear exactly in the file from left to right. If you wish to call the column something other than what is included in the dropdown, you can type in the box whatever you like and select the "Create ___" field in the blue box that will appear above the text box or click Enter. Check the box following the columns to verify everything is correct. Please take a moment to analyze the first 5 rows that populate or first 5 leads to make sure the data is lining up correctly with the order you chose the columns.

  • Please note, the phone number column is only meant to be chosen once from the drop down menu in Step 2 where the default phone number is on the file for your leads. If there are other columns containing additional phone numbers for the lead, you will need to create a custom column for those. 
  • To save time the next time you upload leads from the same source, save the column mapping. Enter a name for the column mapping below your last chosen column where it states, "CSV Column Mapping Name," and click Save. The next time you upload leads from this source when the column mapping is the same,  you can simply click "LOAD CSV COLUMN MAPPING" instead of having to choose each column one by one in Step 2.
  • If you’re attached to an Enterprise account, you must choose the column Enterprise TCPA Consent Date. This feature has been added to ensure TCPA compliance when specially attached to an Enterprise account. You must have a column in the spreadsheet indicating the dates you received consent to contact those leads. If you upload your file without selecting a column as TCPA consent date, the date will automatically be set as 100 days prior to your upload, which will add them to your Enterprise DNC list as they’re considered non-consenting. You will see this banner if this is applicable to your account:

Step 3.  Check the box that says "Send initial text to leads" if you wish to send them an initial text upon upload. You can enter a custom initial message to your leads, or select "Use Initial Preset Text". There is also a checkbox if you would like to upload an image along with your text. A calculated cost will appear, however the system will draw from your free texts first before withdrawing from account funds. Make sure the two boxes for "Exclude from Drips" are unchecked if you want those leads to receive your drip marketing messages.

Step 4.  Select a Lead Vendor. You will need to add the vendor in the Leads Vendors page in the left hand menu prior to uploading if it isn't already created. When creating a lead vendor in the Lead Vendors page, click "Add Lead Vendor" in the top right hand corner, choose "My Vendor Isn't Listed," name the lead vendor, and click save in the bottom right hand corner. 

Step 5.  You can include a disposition tag if you wish to help filter the leads later on. If it is separate from what is available in your drop down, you can create a custom field for this as well. If your disposition has an automated action, it will be triggered on these leads. Make sure you don't accidentally text your leads twice.

Step 6.  Click the checkbox at the bottom to verify and take responsibility for having the necessary consent required to contact these leads. Finally, select "Upload Leads!"
